Welcome to the 1st Newsletter from the desk of the FMIS Implementation Project Manager
As many Public Servants are aware the Ministry of Finance & Treasury (MoFT) has used the Financial Management Information System (FMIS) called Microsoft Dynamics AX 2009 (AX) for the last 11 years.
All FMIS’s provide an important role in supporting a number of essential financial related functions, accounting and reporting processes; including budget formulation, commitment control, cash/debt management and treasury operations.
However, it has been recognized for some time now the functions and restrictions within the current system are no longer adequate to meet SIG future requirements, with Line Ministries experiencing ongoing frustrations, including continuous delays in the payment of vendor invoices.
It is clear a more efficient procurement and payments process with increased and improved functionality is needed for the future.
MoFT listened to the feedback from Line Ministries
After much consultation and feedback from Line Ministries, and with funding received from the Australian Government, MoFT has approved an FMIS upgrade.
After a thorough formal tending process it’s exciting to be able to formally announce the new FMIS will be: Microsoft Dynamics 365 (D365).
Future opportunities with D365
We believe the future upgrading to D365 will provide SIG Line Ministries with many benefits & features, including:
Timelines
It’s important to know there is still much work to be done, and a “Go-Live” date has not yet been confirmed.
Impacts on Line Ministries
With the improved capabilities of this new system it’s expected there will be many systems and process changes required.
Please be assured prior to any changes being made all Line Ministries will be consulted. With information and training opportunities provided to all relevant staff along with ongoing support available during the implementation phase.
The project team will take responsibility to ensure everyone is kept well informed, are competent and feel confident and comfortable with all functions and new processes and requirements of the system, especially if the upgrade impacts on your role and/or responsibilities.
When the new system reaches configuration stages employees will be consulted and given all the necessary information and importantly provided opportunities for any information and training required.
FMIS Implementation Project Team
The upgrade project is seen as a significant undertaking within MoFT and will have many and real impacts to all Line Ministries in the future. Therefore a dedicated project team has been established within MoFT to oversee the development, implementation and training requirements on this new FMIS.
As part of the project team responsibilities there will be regular updates and communications such as this newsletter as we progress through stages of this important project.
This newsletter is only the first of regular communications from the FMIS team to ensure we keep you well informed.
So as we move though stages and roll out this project, be on the lookout in the coming weeks and months for more updates, information, opportunities for feedback and further consultation.
